The Short Answer
A Safe Migration Starts With Identity And Ownership, Not A DNS Change
A small-business Microsoft 365 migration should identify the legal tenant owner, domain registrar, administrators, users, aliases, shared mailboxes, groups, source mail and files before choosing a tool or cutover date. Protect administrator accounts, test a pilot, preserve the source, migrate in stages where appropriate, validate mail flow and data, then document licences, recovery methods and support ownership.
What Matters Most
- Keep the tenant and domain under business-owned accounts.
- Map people, addresses, shared functions and leavers before buying licences.
- Test mail, calendar, files, mobile devices and line-of-business integrations.
- Keep a written cutover, rollback, validation and handover plan.

Move Business Email Or Get Microsoft 365 Working Better
Tell our Sunshine Coast team whether you are moving platforms or fixing an existing issue, your current mail platform, approximate number of users and preferred timing. We can plan email migration, resolve account or mail problems and clarify who owns ongoing administration.
Migration, support and administration are quoted to the agreed scope. Microsoft licences and independent backup are separate unless expressly included. Share the problem, not passwords or business data.
Enquire first. Scope and costs are agreed before work begins.

Inventory The Source And Target
Record every email address and what job it performs. Separate a person who signs in from a shared function such as accounts@, an alias and a distribution group. Measure mailbox and file volumes, shared calendars, delegated access, forwarding and devices.
Confirm who controls the domain registrar and DNS. The migration cannot be cleanly completed or reversed if those credentials belong to a former supplier or employee.
- Business owner and emergency administrator.
- Users, aliases, shared mailboxes and groups.
- Mailbox, calendar, contacts and archive data.
- OneDrive, SharePoint and local file shares.
- Desktop, mobile and shared devices.
- Applications that send mail or use Microsoft sign-in.

02
Prepare Security And The Cutover
Create protected administrator accounts and plan MFA enrollment before staff depend on the new tenant. Configure accepted domains, mail protection, sharing and device expectations, then test with representative users.
Reduce DNS time-to-live where appropriate, document the current records and schedule a change window with support available. A migration tool result is not the same as business validation.
| Area | Check |
|---|---|
| Identity | Each person signs in and completes MFA |
| Internal, external, reply and shared-address tests pass | |
| Calendar | Meetings, rooms and delegates behave as expected |
| Files | Owners and sharing permissions are correct |
| Devices | Desktop and mobile apps reconnect |
| DNS | Required records resolve and old routes are retired safely |
03
Finish With Ownership And Support
Provide the business with administrator ownership, licence records, DNS documentation, recovery methods, data exceptions and a user guide. Remove temporary migration access and agree when the source can be decommissioned.
Ultra IT can plan and perform Microsoft 365 setup or migration, configure business email and establish a local support path for Sunshine Coast and Gympie businesses.
Common Questions
Clear Answers Before You Decide
How Long Does A Microsoft 365 Migration Take?
It depends on users, data volume, source systems, internet capacity and complexity. Planning and background migration can happen before a shorter supported cutover window.
Will We Lose Email During The Move?
A planned migration aims to preserve mail and route new messages correctly, but the exact method and rollback depend on the source. Validation and keeping the source available are important.
Can Ultra IT Set Up Microsoft 365 From Scratch?
Yes. Ultra IT can establish the tenant, domain, users, business email, MFA and support documentation as a new setup or migration.
